What Data We Collect

We collect the following personal data:

• First name and last name
• Email address
• Phone number (optional)
• Date of birth
• Team name and role preferences
• Order and payment transaction details (order number, amount)

Providing your personal data is voluntary. However, certain data (name, email, date of birth) is required to register for events and purchase tickets. Without this data, we are unable to process your registration.

Purpose of Data Processing

Your personal data is processed for the following purposes:

• Event registration and ticketing
• Communication about events (updates, notifications, reminders)
• Payment processing for ticket purchases
• Insurance and safety compliance for event participation
• User account management

Legal Basis

We process your data based on:

• Your consent (Art. 6 sec. 1 lit. a RODO): Given via the data processing consent checkbox during registration.
• Contract performance (Art. 6 sec. 1 lit. b RODO): Processing necessary to fulfill the ticket purchase and event registration contract.
• Legitimate interest (Art. 6 sec. 1 lit. f RODO): Effective organization and management of airsoft events.

Data Sharing

Your data may be shared with:

• Event Organizers: Your name, surname, date of birth, email and phone number are shared with the event organizer for administrative and insurance purposes related to your participation.
• Payment Provider: ING Bank Śląski S.A. (imoje payment gateway) receives your first name, last name, order number and payment amount to process transactions. Payment card details are entered exclusively on the imoje portal and are never processed or stored by us.
• Hosting Provider: Our hosting provider processes data as part of providing hosting services, under a data processing agreement.
• Discord: If you connect your Discord account, data such as your Discord ID and linked-account information may be transferred to Discord Inc. in order to assign server roles and operate the bot. This is subject to Discord's own Privacy Policy. See the 'Discord Integration' section below for details.

We do not sell your data to any third parties. We do not share your data for marketing purposes.

Data Retention

We retain your personal data for as long as your account is active or as needed to provide you services. If you request account deletion, your data will be removed within 30 days, unless retention is required by law (e.g. for tax or accounting purposes).

Your Rights

Under RODO (Regulation (EU) 2016/679), you have the right to:

• Access your personal data
• Rectify inaccurate or incomplete data
• Request erasure of your data ('right to be forgotten')
• Restrict processing of your data
• Request data portability
• Object to processing based on legitimate interest
• Withdraw consent at any time (without affecting the lawfulness of processing before withdrawal)
• Lodge a complaint with the supervisory authority (Prezes Urzędu Ochrony Danych Osobowych, ul. Stawki 2, 00-193 Warszawa)

Automated Decision-Making and Profiling

We do not carry out automated decision-making, including profiling, within the meaning of Art. 22 of RODO (Regulation (EU) 2016/679). Your personal data is not subject to any form of automated processing that would produce legal effects or similarly significantly affect you.

Discord Integration

If you choose to connect your account using Discord (via the OAuth2 protocol), we additionally collect the following data made available by the Discord platform:

• Your Discord user ID (Discord ID)
• Your Discord username (and global name)
• Your Discord avatar
• The email address associated with your Discord account (if you consent in the authorization window)

This data is processed for the following purposes:

• Authenticating you and linking your account to make signing in easier
• Linking your Airsoft.Group profile with your Discord profile
• Managing permissions, such as granting the appropriate roles on the Discord server to participants of specific events
• Providing automated services through a bot on Discord servers, such as notifications and registration status information

As part of this integration, your data (such as your Discord ID and linked-account information) may be transferred to the Discord platform (Discord Inc.) in order to provide these services, for example assigning roles or communicating through the bot. Use of this feature is also subject to Discord's Privacy Policy, available at https://discord.com/privacy.

Managing your Discord connection

You have full control over the connection between our service and your Discord account:

• You can disconnect the Airsoft.Group application from your Discord account at any time, either using the 'Disconnect Discord' option in your profile on our website or directly in your Discord settings (User Settings, Authorized Apps, Deauthorize).
• Once you disconnect the application, we stop collecting any new data from your Discord account.
• In line with your right to be forgotten, you can request that we delete the Discord ID and other related data linked to your profile from our database. To do so, contact us at contact@airsoft.group.
